Trainee Programme Delivery Lead

Description

Part of the Qualification Processing division the eProcessing team manage the planning, scheduling and processing of key back office activities which underpin entry and registration transactions.

This includes management of third party suppliers, responsibility for the production of customer guidance material, and co-ordination of operational activities for Edexcel’s pricing and invoicing procedures.

The team will also provide expert advice on complex entry and registration issues for the Work Based Learning and Schools and Colleges customer service teams.

The overall purpose of the role is to work across the department, with the team managers, to ensure that all programmes of activities are delivered to SLA, quality and cost.

The successful applicant will be responsible for:

  • Acting as contact for qualification set-up (including changes) and certification process issues

  • Planning and scheduling of activities

  • Business calendar reporting

  • Key stakeholder management

  • Management information and reporting

  • Process improvement

Key Accountabilities

  • Assess and implement changes to process, escalating key risks

  • Document all processes and where changes occur ensure that these documents are updated

  • Input into and report against business calendar

  • Act as contact to key stakeholders and business for all processes and changes to processes

  • Plan, schedule and timeline process activities which support successful delivery

  • Develop, collate, report and maintain quality assurance documentation relating to each process

  • Represent the department in meetings

  • Work with senior managers within Customer Services in the production, maintenance and communication of activities

  • Report against departmental escalations to the key stakeholder

  • Work with the team to resolve any EDI file errors/rejections and escalate issues to the appropriate teams for remedial action

  • Take ownership for the delivery of accurate results for all qualifications by monitoring and reporting against completion and ensuring that all quality checks are completed

  • Ensure the complete and accurate closure of pirate entries, liaising with other Operations teams as required

  • Manage the production of qualification eligibility reports and their release to customers through paper and online services

  • Ensure that published fees are correctly applied to all entries and registrations processed

  • Manage the application of late fees at the individual entry/registration level, to ensure they are correctly charged or suppressed as appropriate

  • Ensure that accurate audit records are kept of any credit notes to comply with Audit testing requirements

  • Ensure that Audit testing is completed to schedule and compliance with Pearson Finance requirements

  • Assess and identify areas for improvement, and lead on implementing improvements

  • Work with manager on long term strategy for integration of online services and improvement to customer interface

  • Provide subject matter expertise to the On Demand Manager to support the development of PQS 2.0

Key Challenges

  • The reform of UK qualifications has a direct impact on this function. It is critical that the post holder is abreast of all developments and their impact on the function, so that they can provide effective support to the team, the wider business and our customers

  • Due to the cyclical and seasonal nature of qualification processing, there are high volumes of transactional work required at/around deadline times. A key challenge is the maintenance of quality standards and service levels at these peak times

Previous Work Experience

Essential

  • Demonstrate experience of Programme leadership in a transactional processing environment

  • Demonstrate experience of Programme leadership in a customer service environment

  • Demonstrate experience of reporting and leading the delivery of processes to SLAs and interpreting management information

  • Demonstrate experience of process improvement

  • Demonstrate experience of implementing and monitoring quality within processes

  • Demonstrate experience of developing and delivering training

  • Demonstract experience of Stakeholder Management

Desirable

  • Understanding of the examination cycle and assessment process

  • Awareness of awarding body entry and registration procedures

  • Awareness of the challenges faced by Examinations Officers

Education and Skills

Essential

  • Educated to A-Level or equivalent Level 3 management qualification or experience

  • Demonstrate proficient knowledge and use of Microsoft Office

Desirable

  • Educated to degree level in a relevant subject

  • Recognised qualification in the use of Microsoft Office
