Job Purpose:To provide administrative support to the Regional Managers and Head of Operational Quality under guidance from the PA to the Managing Director. To maintain a high level of customer service to all.

Customer Service
-To ensure that all interactions (mail, visits or telephone) with staff and visitors are to a high standard of customer service.
-To be aware of the arrangements for anyone visiting the centre by liaising with the appropriate managers. Offer anyone waiting some refreshments and ensure their attendance in the home is recorded.
-To ensure that requests for information from external agencies are brought to the attention of the appropriate team member/manager before any information is released.
-To maintain necessary information systems including calendars, templates, records, databases, manuals and audits. To organise and maintain appropriate filing systems as required.
-To provide effective and confidential general administrative support to the Regional Managers and Head of Operational Quality including copy typing service in the preparation of documents, under guidance from the PA to the Directors.
-To Support Regional Office staff through clerical duties
-To provide admin support to the Head of Operational Quality in respect of legal matters
-Receive and assist all visitors to the office in an efficient and courteous manner
-Direct visitors and telephone enquiries to the appropriate personnel within the office
-Provide information to Central Office as requested
-Carry out all typing/word processing as required
-Handle diary appointments for Regional Office staff
-Co-ordinate, organise and assist with filing of documents
-Collate data as required and liaise with internal/external customers as directed
-Co-ordinate both written and oral communications from office staff to Homes and others, including preparation and distribution of reports and meeting minutes. This role description may be subject to amendment to take account of changing circumstances but such amendments will only be made following consultation between the post-holder and line manager.

- Conform at all times to the Policies and Procedures of the Company, with particular regard to confidentiality, financial and administrative responsibilities. Treat patients, colleagues and
- Develop and maintain good working relationships with colleagues, visitors, carers, members of the multi-disciplinary care team and senior professional and managerial staff.
