Operations Lead - Martlets Care (9 months, maternity cover)

Salary: £20,702 to £23,177 per annum (pro rata, dependent on experience)

Hours: 22.5 hours per week

Contract: 9 months fixed-term contract 

Closing date: 1st  February 2018

Interview date: 9th  February 2018 

We are recruiting a skilled and experienced administrator for our Martlets Care domiciliary care agency to manage and administer the key processes relating to FinancePayroll, HR for Care Worker Recruitment, Public Funding Client Quotes, Variations and Data Returns.

Main duties will include:

  • To produce fortnightly invoices and ensure all correspondence is sent out to clients
  • To administer the monthly payroll for our care workers, using an excel Payroll spreadsheet with a selection of different reports and meet strict deadlines
  • To work with the Hospice finance department to identify outstanding balances and to apply credit control processes in recovering late payment
  • To process all incoming care worker timesheets
  • To administer incoming expenses/travel costs and ensure they are added to care worker payroll for payment
  • To be responsible for pre-employment checks for new care workers and arranging mandatory training via the care supervisor
  • To administer the process regarding all client quotes and client care variations

Key Skills required:

  • In-depth experience of payroll and finance processes including invoicing, credit control expenses, producing quotes, running data reports, and evaluating data variances
  • Good standard of general education including English and Maths to GCSE level or equivalent working experience
  • Confidentiality and professionalism in dealing with sensitive issues relating to clients and staff
  • Excellent professional telephone manner
  • Accuracy and attention to detail relating to use of English language for policy writing and protocols
  • Proven ability to develop and maintain effective working relationships both externally and internally
  • Advanced working knowledge of using Microsoft Office and relational databases
  • Ability to work flexibly with set objectives and adapt to change processes, to achieve the aims of the organisation
