Job Title: Operational Support Administrator

Reports to: Team Leader

Location: Leeds City Centre, Princes Exchange

Salary: £19,475 PA

Hours: Full Time 37.5 (either 8am – 4pm or 9am – 5pm)

Closing Date: 29th January

First Bus Shared Services is recruiting for an outstanding administrator to join the operational support team.

About the role

Working for First Bus Shared Services, you will deliver a range of operational services to support our colleagues at First Bus. You will support internal customers such as Finance and local depot teams to provide relevant key data and administrative services. You will be responsible for a number of processes within the First Bus Shared Service Centre. Duties will include supporting engineering with defect cards, clock cards. Helping with fleet management, ordering fuel. Completing requisitions. Data processing and general administrative support.

About you

You will be an experienced administrator, with a high attention to detail, and the ability to follow processes. You will have the ability to think logically, and creatively to identify inconsistencies in data and find solutions. You will have a can-do attitude and be a self-motivator. You will be efficient, and capable of prioritising. You will have strong literacy and numeracy skills, you will be doing some number crunching so it's important that you can quickly identify issues and inconsistencies. You will have excellent IT skills including knowledge of Microsoft Office, and the ability to pick up new data entry systems and working on excel spreadsheets.

  • Responsible for a number of processes within First Shared Service Centre
    • Engineering Support  - Defect Cards – Clock Cards
    • Fleet Management
    • Requisition To Pay
    • Ticket Fulfilment
    • Fuel Data Processing
    • General admin support processes
  • Accountable for the delivery of a high-quality data output defined by the Service Level Agreement (SLA) with the appropriate internal customer.
  • Presentation of data and reports to internal audit
  • Responsible for maintaining the appropriate balance of speed, cost and quality as defined
  • Supporting continuous improvement across the Shared Services Centre
  • Responsible for maintaining communications and interface with customers and stakeholders

Skills, Experience and Qualifications required  

  • Proven ability to identify, plan and implement change effectively
  • Proven track record of achieving deadlines and working effectively within a complex and dynamic environment
  • Excellent verbal and written communication skills

Person Specification

  • Previous administrative experience
  • Creative, logical, problem solver
  • Ability to prioritise and make decisions intelligently using data to direct them
  • Excellent numerical skills, able to quickly identify issues, inefficiencies and how big these might be
  • Excellent knowledge of Microsoft Office, including excel
  • Strong communication and inter-personal skills
