Database Assistant (Membership)
Development

Permanent
£22,580 per annum

The British Museum is seeking a Database Assistant (Membership) to join the Development department. The main purpose of this role is to provide essential database support for the annual Operations Plan and particularly for the maintenance and updating of Membership gifts and records.

The Database Assistant will support the Data Co-ordinator in working to a schedule of activity to provide stakeholders with accurate data. This role will also liaise with the Database Manager and the Membership team on a regular basis to discuss and investigate data issues. The integrity of the fundraising database is essential to providing excellent donor care and supporting the donor journey.

Key Areas of Responsibility:
•Under the guidance of the Data Co-ordinator, to maintain and update information on the Raiser’s Edge fundraising database (training will be provided). A significant amount of data entry work will be required
•To assist the Data Co-ordinator in the process of Membership renewals to meet strict deadlines. This includes reconciling Direct Debit payments from external service providers against Raiser’s Edge, adjusting records, cleaning data and spotting exceptions.
•To assist the Data Co-ordinator in maintaining and improving every aspect of gift data management to follow agreed procedures and service level agreements
•To provide assistance, where necessary, to the Membership Systems Co-ordinator with weekly mailing data, new donor files and data generated on external systems
•To provide assistance to the Membership Engagement Manager with email data management
•Handle other relevant data processing and administration as required
•Under the guidance of the Database Manager, to be responsible for Raiser’s Edge data integrity. This may involve liaison with a Graduate Trainee to identify data quality projects and maintain data documentation
•Under the guidance of the Database Manager, to merge duplicate records regularly
•To assist the Membership Services Team in all enquiries relating to Member records and escalating issues as necessary
•To be responsible for ensuring that data on Members, donors and prospects is updated on a regular basis
•To assist in the processing of donations (training will be provided)
•To assist the Database Manager and Senior Gifts & Planning Manager in the documentation of key processes and the development of training manuals relating to data entry and management
•To assist in checking data inputted by colleagues and identifying training needs
•To assist at Museum evening and breakfast events as necessary and where necessary attend events outside of general working hours (time off in lieu will be given).
•To abide by the requirements of the Data Protection Act and to treat all information as confidential (training will be provided).
•To support the Data Co-ordinator on other tasks and duties relating to the database

Person Specification:
•Educated to GCSE level or equivalent and IT literate
•Experience in data entry having worked with databases
•Familiar with volunteering or working at a charity or not for profit organisation
•Excellent attention to detail; able to work methodically and prioritise work for deadlines; and an ability to improve repetitive tasks and procedures
•Able to work independently or as part of a team, and skill in explaining technical processes to others.
•A flexible approach to work with the ability to also work out of hours (time off in lieu given)
